Growth partner for med spas, cosmetic dentists & surgeons

We find what’s holding your practice back. Then we fix it.

Ascendaio isn’t another marketing agency. We work alongside your practice to find where patients and revenue are slipping away, then fix it with local SEO, Google and Meta ads, CRM and lead automation.

One practice per area. We never work with competing practices in the same local market. Once we partner with you, your area is yours.

Problems we solve

Whether you run one room or ten locations, the problems are the same.

Most practices don’t have a lead problem. They have a follow-up, tracking and visibility problem. Here’s what we find in almost every practice we work with, and how we fix it.

01

Leads go cold before anyone calls back

A form comes in at 9pm. The front desk sees it at 10am. By then, the patient has booked with the practice that replied first.

Fix: instant text and email replies, missed-call text-back and a 24/7 AI chatbot that books consultations.

02

Invisible for “botox near me” and “veneers near me”

Competitors hold the Google map pack for your highest-value treatments, while your site only ranks for your own name.

Fix: local SEO, Google Business Profile optimization, treatment pages and review generation.

03

Ad spend with no clear return

You’re paying for Google and Meta ads, but no one can say which campaign produced which booked, paying patient.

Fix: GA4, conversion and pixel tracking tied to your CRM, so every dollar is traced from click to revenue.

04

Leads scattered across inboxes and DMs

Instagram DMs, web forms, voicemail and spreadsheets. Nothing is in one place, so nothing is followed up consistently.

Fix: a CRM with one pipeline for every inquiry, automated nurture sequences and a clear owner for every lead.

05

No-shows and empty chairs

Consultations are booked but patients don’t turn up, and last-minute gaps never get filled.

Fix: automated reminders, confirmations, deposits and a waitlist flow that backfills cancellations.

06

Thousands of past leads doing nothing

Years of inquiries and lapsed patients sit untouched in your system while you pay to acquire new ones.

Fix: reactivation campaigns by text and email that bring past leads and lapsed patients back.

Demonstration work

See the quality of our work before you commit.

Pick an example and click through it. These are demonstrations, not client results: the audit reviews a real practice’s public website with its name withheld, while the landing page, workflow and report use a fictional clinic and sample data.

Sample SEO audit

A real practice’s website, audited

We reviewed a Texas med spa’s publicly visible website and Google presence, with its name and identifying details withheld. Every finding is ranked by priority and comes with a plain-English fix.

Filter by priority, then open any finding to see the detail.

A full audit covers

  • Google Business Profile and map rankings
  • Website speed, mobile experience and content
  • Local listings and reviews
  • Tracking and conversion setup
Website & local SEO auditMed spa · Texas · Name withheld
Public data only
Google Business ProfilePrimary category is “Day spa”, not “Medical spa”High

What we found

The profile’s primary category is Day spa, and no services are listed for injectables, filler or laser.

Why it matters

Google relies heavily on your primary category to decide which searches you appear in. Listed as a day spa, the practice competes for massages and facials, not Botox.

Recommended fix

Switch the primary category to Medical spa, add relevant secondary categories, and list every treatment as a service with a short description.

Effort: Low

Local rankingsMissing from the map pack for treatment searchesHigh

What we found

In a ranking scan across the practice’s area, it appears in Google’s top three map results for its own name only, not for searches like “botox near me” or “lip filler near me”.

Why it matters

Patients searching for a treatment usually choose from the first few map results. If you’re not there, those calls go to competitors.

Recommended fix

Optimize the Google Business Profile, post photos and updates weekly, fix local listings and build a steady flow of new reviews.

Effort: Ongoing

Website contentNo dedicated treatment pagesHigh

What we found

Botox, filler, laser and body treatments share one Services page, with a short paragraph each.

Why it matters

Google ranks individual pages, not whole websites. One shared page can’t rank for dozens of treatment searches or answer patients’ questions.

Recommended fix

Build a page for each high-value treatment, with pricing guidance, FAQs, before-and-after photos and a booking button.

Effort: Medium

Website speedSlow to load on phonesMedium

What we found

On a typical mobile connection, the homepage’s main content takes about 6 seconds to appear, mostly because of large, uncompressed images.

Why it matters

Google’s benchmark for a good experience is 2.5 seconds or less. Slow pages rank lower, and many visitors leave before the page appears.

Recommended fix

Compress and resize images, load below-the-fold content later and remove unused scripts.

Effort: Low

ConversionBooking button hidden on mobileMedium

What we found

On phones, the only Book button sits inside a collapsed menu, and the phone number is in the footer.

Why it matters

Most visitors arrive on their phones. Every extra tap between interest and booking loses potential patients.

Recommended fix

Add a sticky Book and Call bar on mobile, and a booking button in every section of each page.

Effort: Low

Local listingsOld address still listed in directoriesMedium

What we found

An old suite number still appears on Yelp, Apple Maps and several smaller directories.

Why it matters

Conflicting details make Google less confident about your location, which can hold back map rankings and send patients to the wrong door.

Recommended fix

Correct every listing so the name, address and phone number match exactly, then monitor them for changes.

Effort: Low

ReviewsRecent reviews have no repliesQuick win

What we found

None of the reviews from the last six months have a reply, including two negative ones.

Why it matters

Replies show future patients that you care, and a calm response to a negative review limits the damage.

Recommended fix

Reply to every review within 48 hours, using HIPAA-safe wording that never confirms someone is a patient, and request reviews automatically after visits.

Effort: Low

On-page SEOHomepage title is just the practice nameQuick win

What we found

The title shown in Google search results is the practice name alone, with no treatments or city.

Why it matters

The page title is one of the strongest signals of what a page is about, and it’s the first line patients read in search results.

Recommended fix

Rewrite the title and description of every page to include the treatment and city, for example “Botox & Lip Filler in [City] | [Practice]”.

Effort: Low

TrackingForm inquiries and calls aren’t trackedQuick win

What we found

Google Analytics is installed, but form submissions and phone calls aren’t recorded as conversions.

Why it matters

Without this, nobody can tell which channel or campaign produces patients, so budget decisions are guesswork.

Recommended fix

Set up conversion tracking for forms, calls and bookings in Google Analytics, Google Ads and Meta.

Effort: Low

Note 1 of 6

Matches the search

Someone who searched “lip filler Dallas” lands on a page about exactly that, not on your homepage. The headline mirrors the ad or search they clicked, so they know straight away they’re in the right place.

One clear next step

Booking a free consultation is the main action, with tap-to-call beside it. There’s no menu and no unrelated links pulling visitors away.

Trust, right where patients decide

The star rating and review count sit next to the booking button, at the exact moment a patient is deciding whether to book.

Real results, shown with consent

A before-and-after gallery answers the biggest question: what will I look like? We only use patient photos with written consent.

Clear starting prices

“From” prices remove the guesswork. Patients book knowing roughly what to expect, and your team spends less time on price-only calls.

A four-field booking form

Short forms get finished. Each inquiry goes straight into your CRM and starts the automated follow-up.

Example workflow

Automated lead follow-up

How it works

  • Runs 24/7, including nights and weekends
  • Stops the moment a patient books
  • Texts only go to people who’ve agreed to receive them
  • Your team gets a task whenever a personal touch is needed

Sample data

What it measures

Every new form, call, text and DM, counted once and grouped by where it came from.

Why it matters

It shows whether marketing is creating demand, and which channels are pulling their weight.

If it slips

We check rankings, ad delivery and tracking first, then adjust targeting or budget.

What it measures

How long a new inquiry waits for its first reply, by text, email or phone.

Why it matters

Patients often contact several practices at once. The first to reply usually wins the consultation.

If it slips

We review the automations and how front-desk tasks are handled, the same week.

What it measures

Inquiries that turned into a consultation on your calendar.

Why it matters

Inquiries only count if they book. This shows how well follow-up and your front desk turn interest into appointments.

If it slips

We review follow-up messages and call handling, then refine scripts and sequences.

What it measures

Total ad spend divided by new patients treated. This month: $6,200 ÷ 44 patients = $141.

Why it matters

It’s the clearest test of whether marketing pays off, measured against what a new patient is worth to you.

If it slips

We move budget toward the channels and campaigns with the lowest cost per patient.

Where inquiries came from

  • Google Maps & search52
  • Meta ads41
  • Past-patient reactivation18

Next month’s priorities

  1. Shift budget toward Google Ads, which brought in the most inquiries.
  2. Launch a dedicated lip filler page to lift the booking rate.
  3. Add a small deposit at booking to cut the 13% no-show rate.

How working with us works

One connected growth loop, built around your practice.

We start with a free strategy call and a growth plan. Then we run all four stages as one system, so every stage feeds the next.

  1. Be found

Local SEO, Google Ads and Meta ads put your practice in front of patients searching for your treatments.

  2. Capture

Treatment landing pages, a 24/7 AI chatbot and one CRM pipeline turn visits into tracked inquiries.

  3. Convert

Instant replies, missed-call text-back and reminders get consultations booked, and kept.

  4. Compound

New reviews, past-patient campaigns and monthly reporting make every month stronger than the last.

Results feed back into the plan, every month

Tracked from first click to closed dollar.

How we start

  1. 01

    Free strategy call

We get to know your practice, your goals and what’s holding growth back.

  2. 02

    Growth plan

We find the weakest stage in your loop and agree clear priorities, so you know exactly what we’ll do and why.

  3. 03

    45-day trial

We agree what we’ll measure on day one, then review progress together on day 45.

FAQ

Common questions.

Something else on your mind? Ask us on your free strategy call.

Who do you work with?

Med spas and cosmetic dental practices are our core focus, and we’re opening a limited number of spots for cosmetic and plastic surgery practices. We work remotely with practices across the US and partner with only one practice per local area, so we never work with your direct competitors.

What services do you provide?

Local SEO and Google Business Profile, Google Ads, Meta ads, CRM setup, lead follow-up automation, landing pages, AI chatbots, tracking and reporting, and database reactivation. We only recommend what your practice actually needs. See all services.

How does pricing work?

Every practice is different, so we quote after your free strategy call, once we understand your goals, locations and the services you need. Ad budgets are paid directly to Google and Meta, separate from our fees. Every partnership starts with a 45-day trial.

Do you guarantee rankings or patient numbers?

No. Nobody can honestly guarantee Google rankings, leads or patient numbers. Rankings are controlled by Google, and results depend on your market, your competition and how inquiries are handled at your practice.

What we do commit to is a clear plan, careful work and transparent monthly reporting, so you always know what’s working and what we’re changing.
